Subscription terms
SafetyFlow HQ Subscription Terms
Effective September 3, 2026. These terms apply to use of the SafetyFlow HQ public website and, when a customer purchases a subscription, the SafetyFlow HQ customer application. By purchasing a subscription or using a paid workspace, the subscribing business agrees to these terms. A separately signed agreement controls if it expressly conflicts with these terms.
1. Service
SafetyFlow HQ is a cloud-based safety-management and compliance-support platform. Core launch features may include compliance assessments, written-program and document workflows, document control, field safety forms, JSA/JHA workflows, incident and root-cause analysis, corrective actions, reminders, audit-ready records, regulatory-review workflows and company-user administration. FMCSA and fleet-specific workflows require the separate FMCSA & Fleet Compliance module. SafetyFlow HQ training courses are not included in the launch subscription.
2. Subscription pricing
Unless a different written offer applies, SafetyFlow HQ Core is $99 per month. The optional FMCSA & Fleet Compliance module is $99 per month. A customer selecting both pays $198 per month. Subscriptions renew monthly until canceled. Applicable taxes may be added where required.
3. FMCSA & Fleet Compliance module
The FMCSA & Fleet Compliance module is not included in the Core subscription. Access to FMCSA-specific assessments, driver/fleet workflows, electronic inspections, maintenance records and related features requires an active module or another written commercial arrangement. SafetyFlow does not require the customer to purchase a SafetyFlow ELD, GPS gateway or proprietary telematics hardware.
4. Payment and automatic renewal
Subscription payments are processed by Stripe or another disclosed payment processor. By starting a paid subscription, the customer authorizes recurring monthly charges to the selected payment method until cancellation. SafetyFlow HQ does not intentionally receive or store the full payment-card number entered on Stripe-hosted checkout pages. Payment failures may result in a past-due status, restricted access, or suspension until billing is resolved.
5. Cancellation
Customers may cancel future renewal using the available billing portal or by contacting hello@safetyflowhq.com. Unless otherwise required by law or agreed in writing, cancellation stops future renewals and access normally remains available through the end of the already-paid billing period. See the Cancellation & Refund Policy.
6. Refunds
Except where required by law or expressly agreed in writing, subscription charges already paid are non-refundable and are not prorated for a partially used billing period. If SafetyFlow HQ makes a billing error, contact us so it can be reviewed and corrected.
7. Customer accounts and authorized users
The subscribing business is responsible for information submitted through its workspace, controlling who is authorized to use company accounts, keeping account credentials secure, and promptly removing access that is no longer appropriate. Users may not attempt to bypass access controls, access another company’s workspace, interfere with the service, or use the platform unlawfully.
8. Compliance responsibility
SafetyFlow HQ helps organize safety and compliance work; it does not guarantee OSHA, FMCSA, state, local, contractual, or other regulatory compliance and does not eliminate workplace risk. The employer remains responsible for determining which requirements apply, implementing safe work practices, conducting required site-specific or hands-on activities, maintaining qualified personnel, and using legal, safety, engineering, medical, regulatory, or other professional advice when appropriate.
9. Customer data
The customer retains responsibility for the accuracy, lawfulness, and appropriateness of information it enters into SafetyFlow HQ. The service may process and store company safety records as necessary to provide the platform. Customers should maintain any independent records or exports their business-continuity or legal requirements call for.
10. Platform changes and availability
SafetyFlow HQ may improve, replace, or discontinue features as the service develops. We will make reasonable efforts not to materially remove the core value of an active paid subscription without appropriate notice. Temporary outages, maintenance, third-party service interruptions, or security measures may affect availability.
11. Intellectual property
SafetyFlow HQ, its software, interface, branding, original templates and platform content are protected by applicable intellectual-property laws. A paid subscription grants the customer a limited, non-exclusive right to use the service for its own internal business operations during the active subscription. The customer does not acquire ownership of the SafetyFlow HQ software.
12. Disclaimers and limitation
The platform is provided as a business software tool and not as a guarantee of a particular safety, regulatory, legal, insurance, or operational outcome. To the extent permitted by applicable law, SafetyFlow HQ is not responsible for indirect, incidental, special, consequential, or punitive damages arising from use of the service. Nothing in these terms excludes rights or liabilities that cannot legally be excluded.
13. Changes to these terms
These terms may be updated as the service and commercial offering develop. Material changes affecting an active paid subscription should be communicated reasonably before they take effect. The effective date above identifies the current posted version.
14. Contact
Questions about subscriptions, billing, cancellation, or these terms may be sent to hello@safetyflowhq.com.
Launch note: These terms are intended to support SafetyFlow HQ’s initial commercial launch and should receive appropriate legal review before live customer billing is enabled.
